VIP Arrival & Relocation Support
Practical, personalised help for a more confident start to life abroad.
Arriving in a new country is a big step. From meeting you at the airport to helping you find your way around, Study With FM can coordinate the practical support you need to settle in and prepare for your studies.
Your arrival plan is tailored to your destination, travel arrangements and individual needs. Depending on local availability, support may be provided by a Study With FM team member or arranged with your university, school or a suitable independent provider.
Arriving abroad involves more than the journey
Even when your place at university or school and your accommodation are confirmed, your first days can involve unfamiliar airports, transport systems, check-in procedures and local services. For students travelling abroad for the first time, and for parents of younger students, knowing how those first steps will work can make a real difference.
We help you plan the practical details before departure and arrange the assistance that is appropriate and available when you arrive.
What you can expect
Depending on the support agreed, your arrival plan may provide:
- A clear meeting and onward-travel arrangement for your arrival.
- Help getting to your accommodation and completing practical check-in steps.
- An introduction to your journey to university, school or college.
- Assistance with local transport, mobile connectivity and everyday essentials.
- An agreed point of contact during the arrival-support period.
- Additional settling-in assistance for the period and tasks specified in your plan.
You can choose support for a particular part of your arrival or discuss a more comprehensive arrangement. Not every service is included in every plan.
What we can arrange
Pre-arrival planning and coordination
We review your arrival date, airport or station, travel details, accommodation address, check-in arrangements and relevant contact information. We also consider the number of people travelling, luggage, accessibility requirements and any agreed support needs so that the arrangements fit your circumstances.
Airport collection and onward transport
Where available and included in your plan, we can arrange collection from an airport, station or another agreed arrival point, followed by transport to your accommodation or another agreed destination.
A Study With FM team member may meet or accompany you where this is possible. In other locations, we may coordinate an arrangement with your university, school or a suitable local transfer provider. We will confirm who is providing the service, the meeting arrangements and how to make contact before you travel.
Accommodation arrival and check-in
We can help you locate your accommodation, identify the correct reception or contact person and follow the provider's check-in instructions. Where agreed, assistance may extend to practical steps as you move into your room or residence.
Your accommodation provider remains responsible for its property, booking conditions, contract and check-in requirements. Accommodation sourcing and guardianship can be arranged separately where available.
University, school or college orientation
We can help you identify your campus or school, understand the route from your accommodation and become familiar with available public transport. An accompanied journey or arranged transfer can also be included where agreed and available.
This practical orientation does not replace your institution's official registration or induction activities.
SIM-card and mobile-phone assistance
Where included, we can help you explore local SIM-card or mobile-service options and understand the practical setup process. You choose the provider and plan, and any agreement, charges, coverage and service conditions are set by the mobile-network provider.
Local orientation and settling-in support
Depending on your destination and plan, we can help you locate useful nearby services, such as transport links, supermarkets, pharmacies and local shops. Additional assistance with agreed practical tasks may be available during your first days.
The tasks, duration and level of support will be confirmed in advance; this is not an unlimited or ongoing personal-assistance service.
Arrival support for students under 18
We can arrange airport collection for an unaccompanied student under 18 when appropriate parental or guardian consent, safeguarding arrangements and an agreed handover are in place. We will consider the student's age, school and accommodation requirements, who will meet them and who will receive them at the agreed destination.
Any arrangement depends on what can be provided safely and appropriately in the destination. Providing arrival assistance does not automatically make Study With FM, a team member or a transport provider the student's legal guardian. Guardianship responsibilities must be agreed separately where required.

How it works
Tell us your arrival plans
Share your destination, institution, expected arrival date and time, accommodation details, who is travelling and the assistance you would find useful.
We review what is possible
We assess your requirements and check whether the requested support can be arranged in your destination. We explain whether assistance would be provided by our team, your institution or an independent provider.
Agree the service and costs
Before you proceed, we confirm the included tasks, responsibilities, support period, any Study With FM fee, known third-party charges and the agreed payment arrangements.
Confirm the details before travel
We reconfirm travel and accommodation details, meeting instructions and contact information. Please tell us promptly about any changes to your plans.
Receive your arrival support
The agreed collection, transfer, check-in assistance or orientation takes place according to the confirmed arrangements, subject to travel conditions and provider availability.
Settle in with any additional agreed assistance
If your plan includes further practical support, this is provided during the agreed period after arrival.
When should you arrange it?
Contact us as soon as your destination and travel plans are reasonably clear. The time needed to organise support depends on the location, arrival schedule, type of assistance, provider availability and any safeguarding requirements. We may be able to accommodate a late request, but availability cannot be guaranteed.
What we need from you
To plan the service, we may ask for:
- Your name, age and contact details, plus parent or responsible-adult contacts where relevant.
- Your destination, university or school and accommodation name, address and check-in details.
- Your travel date, flight or journey information, arrival point, terminal and expected arrival time, where known.
- The number of travellers and any luggage or transport requirements.
- Any accessibility, mobility or other relevant support needs.
- Details of a responsible adult or guardian and the agreed handover arrangements for a student under 18.
Please keep us informed of cancellations, delays or changes to your itinerary. We will explain how to share any additional information needed for your particular arrangement.
Who this service is for
VIP Arrival & Relocation Support is suitable for students who want help with the practical transition to a new destination. It can be particularly useful for first-time international travellers, university and postgraduate students, school and sixth-form students, students under 18 and families who want arrival arrangements planned in advance.
You do not need to have used another Study With FM service to enquire. We will discuss the support that fits your circumstances rather than assuming you need a complete package.
What is not automatically included
Unless expressly included in your written arrangement, this service does not cover:
- International flights, visas or other travel documents.
- Accommodation bookings, rent, deposits or household expenses.
- Mobile plans, SIM-card charges, meals, shopping or personal spending.
- Ongoing daily transport, unlimited chauffeur services or long-term personal assistance.
- Guardianship, parental responsibility or ongoing supervision.
- Legal, tenancy, regulated immigration, financial or medical advice, or emergency medical services.
- Any activity or support beyond the agreed scope and period.
Additional services or costs will be explained separately before you agree to them.
Flight delays, changes and third-party providers
If your flight is delayed, cancelled, rerouted or rescheduled, contact us as soon as possible. We will try to adapt the arrangements where reasonably possible, but a replacement transfer or revised meeting time may depend on availability. Waiting-time, cancellation or rebooking charges may apply under the agreed terms or the provider's conditions.
Some services are delivered by universities, schools, transport companies, accommodation providers, mobile networks or other independent organisations. We will explain who is responsible for each agreed service. Independent providers set their own service terms, charges and operating arrangements, and we cannot guarantee their performance or the timing of transport and travel.
Pricing and payment
Tailored pricing, agreed before you book.
VIP Arrival & Relocation Support is a separately chargeable service. The price depends on your destination, arrival time, journey distance, number of travellers, transport requirements and the type and duration of support requested.
We will explain the applicable Study With FM fee and any known third-party costs before confirming your booking. Depending on the arrangement, third-party providers may be paid directly by you or their charges may be handled as part of the agreed service. We will confirm who pays whom, when payment is due and what is included.
Students relocating from Iran may also request this paid service. Where lawful and agreed, an applicable Study With FM fee may be invoiced after the student has arrived and settled in the destination country, with payment by bank transfer from an account held there. All services, invoices and payments remain subject to applicable laws, sanctions, banking requirements and compliance checks. Third-party payment arrangements are confirmed individually.
